Onboarding covers everything you do to give a new member the best possible start.

Make the goal specific from day one
“Lose weight” or “get fitter” is a perfectly reasonable starting point, but it is still quite broad. During onboarding, work with the member to make their goal more specific.
Perhaps someone wants to lose ten kilograms without having to avoid meals out. Another member wants to become stronger and learn how to eat enough protein. Someone else may simply want more energy and finally establish a consistent exercise routine.
Once you understand this, you can make the coaching experience much more personal. Just as importantly, you have something meaningful to review together later.
Introduce nutrition from the start
Don’t wait until a member asks in frustration after three months why they aren’t seeing the results they expected. Make nutrition a normal part of the member journey from day one.
That doesn’t mean every trainer needs to spend hours writing detailed meal plans. Members could start with a personalised nutrition plan, recipes, practical food choices or a food tracker. This means nutrition doesn’t feel like an additional service you’re trying to sell later. Instead, it becomes part of your gym’s overall approach. Training and nutrition work together from the very beginning.
Create early wins
New members don’t need to see dramatic transformations immediately to stay motivated. Small successes can be just as important. That might mean completing three workouts in a week, losing the first kilogram, getting stronger on a particular exercise, consistently eating enough protein, feeling more energetic or establishing a better meal routine.
Make these wins visible. A member who can see that their effort is producing results has a much stronger reason to continue than someone who trains every week without knowing whether they’re actually making progress.
Schedule the next contact straight away
A common mistake is allowing coaching to become dependent on chance after the initial consultation. A coach might see the member on the gym floor a few weeks later and ask how things are going, but there is no structured follow-up.
There’s a simple solution: schedule the next review during onboarding.
For example, arrange a follow-up after a few weeks and discuss how training and nutrition are going, what’s working, where the member is struggling, whether progress is visible and what the next step should be. This keeps the coaching relationship active and gives your team an opportunity to intervene before a member starts losing motivation.
Make onboarding scalable for your team
Personalised coaching can sound labour-intensive, particularly if your gym has hundreds or thousands of members.
But not every part of the process needs to be handled manually. Parts of the member journey can be standardised. Think of a structured initial consultation, automated nutrition plans, digital information, a member app and scheduled progress reviews.
